Hosting and server logs
This website is hosted on a virtual server operated by Contabo GmbH (Aschauer Straße 32a, 81549 München, Germany). When you visit the site, the server automatically processes technical data (such as the requested page, browser type, operating system and the IP address of the request) in log files. This processing is based on a legitimate interest in operating and securing the website (Art. 6 (1) (f) GDPR). Log files are kept only for as long as needed for security and troubleshooting and are then deleted.
Analytics
This site uses Koko Analytics, a privacy-friendly statistics tool that runs entirely on this server. It sets no cookies, stores no personal data and no IP addresses, and transmits nothing to third parties; only aggregate counts (page views and referrers) are kept. For this reason no consent banner is required.
Contact form and email
If you use the contact form, the data you enter (name, email address, subject, message and any documents you upload) is sent to me by email and stored on this server so your message cannot be lost. Uploaded documents are kept in a non-public folder. This processing is based on Art. 6 (1) (b) GDPR (taking steps prior to entering into contact or cooperation). The form includes a simple arithmetic spam check that runs entirely on this server and processes no personal data.
Contact messages are deleted once the enquiry is resolved, at the latest after 12 months.
Appointment booking
The booking page at book.jwgrootjen.com lets you request a meeting slot. It runs on the same server as this website (self-hosted Easy!Appointments); no external scheduling service is used. When you book, the details you enter (your name, email address, an optional phone number, the service and time you choose and any note) are stored on the server and sent to me, and a confirmation is emailed to you. This processing is based on Art. 6 (1) (b) GDPR (steps taken at your request prior to a meeting). The booking form sets only a technical session cookie needed for it to work, and no tracking cookies. Booking records are deleted once the appointment has taken place and is no longer needed, at the latest after 12 months.
Thesis applications
If you apply for a thesis topic, documents you send (motivation, transcript of records, CV) are used solely to assess the application and are deleted once the decision is made.
Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and objection regarding your personal data, and the right to lodge a complaint with a supervisory authority (Art. 15 to 21, 77 GDPR). To exercise these rights, contact contact@jwgrootjen.com.
Third parties
This site loads all fonts, scripts and styles from its own server. No third-party services are embedded and no data is transferred to third countries by this site itself. Outgoing email (contact form and booking confirmations) is delivered through the email provider one.com (One.com Group AB, Denmark), acting as a processor within the EU.
